Job Description
Administrative Assistant (35 hours per week)
We are assisting a well-established organization in the Haddam, CT area with hiring a Facilities Administrative Assistant to support day-to-day clerical and operational needs across its facilities and administrative offices. This contract-to-hire opportunity is ideal for a detail-oriented professional who enjoys coordinating vendors, supporting maintenance operations, and handling essential office and mail functions.
This 35 per hour week role is offering qualified administrative assistants $21 per hour.
Key Responsibilities
- Process vendor invoices for payment using QuickBooks
- Assist with work order and workflow tracking through MaintainX (CMMS)
- Support Building Services staff with administrative and coordination needs
- Assist with organizing and tracking repairs, maintenance, and capital improvement projects
- Help prepare, track, and monitor the Facilities Department budget
- Maintain records related to utilities, water usage, service contracts, and vendor relationships
- Manage purchasing and inventory for office, janitorial, name tags, liquor, bar, paper, and related supplies
- Maintain databases for supplies, contracts, and operational resources
- Assist with tracking maintenance, budgeting, and driver records for the organization’s vehicle fleet
- Research and support energy conservation and efficiency initiatives
- Assemble and assist with bank and coin deposits related to vending and laundry revenue
- Pick up, process, and distribute incoming and outgoing mail daily, including operating the postage machine
- Open and log incoming checks accurately and deliver documentation to appropriate departments
- Assist with local post office and bank runs as needed
- Perform other related duties as assigned
Qualifications
- Prior administrative office support experience required
- Experience with invoicing, accounting support, or QuickBooks strongly preferred
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and work across departments
- Comfortable handling confidential and financial information
- Proficiency with basic computer systems; ability to learn new software
- Valid driver’s license and ability to travel locally
